Control variations and changes

A written variation is a decision record. It should make the change clear to both sides, not merely add a price.

Record the complete change

  • Reason and requested-by party
  • Original and revised scope
  • Price addition or deduction
  • Programme effect
  • Drawing or specification revision
  • Approval date and parties

Handle urgent site discoveries proportionately

Ask for photographs, an explanation, options and the cost/time effect. If immediate safety action is required, record what was made safe and keep the permanent solution as a separate decision.

Maintain a running total

Update the agreed contract sum and completion forecast after each approved variation so the project position remains visible.
